The sample looked finished. That was not the same as being ready to release.
On this visit, the most useful evidence was not a dramatic defect photo. It was a small group of folded material samples on the inspection table. They were already packed and presentable, but the buyer still needed one practical answer before final payment: did the units selected from production support the reference they had approved?
That question is easy to underestimate. A finished sample can look acceptable by itself, while the comparison between variants, construction points and the buyer’s reference has not yet been made. For a seller preparing an Amazon FBA shipment, that missing comparison is where avoidable returns and rework decisions begin.
First, make the reference visible
The inspector did not begin by asking whether a single unit looked good. The first job was to identify what it should be compared against: the approved sample, the relevant variation, the packing information and any product-specific instructions sent with the booking.
Without a reference, words such as acceptable, same colour and good finish are too vague to support a shipment decision. The reference turns a visual observation into something the buyer can review after the inspection.
Then separate appearance from construction
A surface may look clean under workshop lighting while the fold, seam, edge, fabric feel or internal construction still needs a closer check. During a pre-shipment inspection, these are recorded as separate observations. That prevents a neat-looking sample from masking a question that belongs to the product specification.
Compare variants before the carton count becomes the whole story
When an order has colour, material or style variants, it is important to keep the comparison deliberate. A record should show which variant was inspected and what was compared. This does not require an overlong report; it requires enough context that the buyer can understand whether the sampled units represent the production that will be loaded.
The practical point is timing. Once cartons are sealed, palletised and booked for export, resolving a product-consistency question becomes slower. Checking selected units before release gives the buyer room to ask for clarification, corrective action or a targeted follow-up inspection while the goods are still accessible.
What this field note means for an FBA seller
Pre-shipment inspection in China is not only about counting cartons or assigning an AQL result. It is also the point at which a buyer can connect the approved reference, selected production units and shipment-release decision in one documented review.
