Before Final Payment: Three China Inspection Checks That Need Evidence

Before a buyer releases the balance payment, three checks need evidence. A supplier confirmation and one polished sample do not answer the practical question: are the goods, packaging and selected production units ready to move?

This field note follows three ordinary moments from one China inspection visit. None is dramatic on its own. Together they show why a pre-shipment inspection should give an Amazon FBA or ecommerce buyer decision evidence, not just a generic pass or fail statement.

1. Record the operating location, then verify the business behind it

An entrance without obvious exterior branding is not proof that a supplier is illegitimate. It is a reason not to guess. The inspector records what is present and reconciles it with the purchase order, declared production address, legal entity receiving payment and stated production scope.

For a first order, a buyer should be able to answer three basic questions: does this location match what the supplier declared, are finished goods physically present, and does the entity on invoices and bank details match the party receiving payment?

2. Packaging is a shipment check, not a cosmetic check

The inspection then moved from the master carton to the inner packs. This is where shipment problems often appear: an unsuitable carton, missing protection, an incorrect pack count, unclear marks, or dimensions that do not match the freight plan.

A carton photo is not automatically an Amazon FBA approval. Carton condition, labels, FNSKU requirements, quantity, dimensions and the buyer’s routing instructions still need to be checked against the agreed specification.

3. Open a selected unit when the internal build matters

For lighting and electrical goods, an external appearance check is not enough. Where the agreed inspection scope calls for it, a selected unit can be opened and its visible cable routing, connectors, assembly and labels documented against the ordered specification.

This is not a substitute for laboratory certification or a full safety assessment. It is a practical production check. If the internal build differs from the approved sample, the buyer needs that evidence before the shipment leaves China.

What changes the payment decision?

The right response to a finding is not always rejection. It may be a targeted rework request, a hold on shipment, a revised packing instruction, a quantity reconciliation or a re-inspection of corrected items. The point is to make the decision from a dated report, photos and clear scope of what was and was not verified.

  • Release payment when the agreed evidence supports the shipment decision.
  • Hold payment or shipment when material questions remain unanswered.
  • Arrange targeted re-inspection after corrective work instead of relying only on supplier photos.
