A Yiwu Field Note: Carton Checks Before an FBA Shipment

This field note is based on an anonymised pre-shipment inspection in Yiwu. Buyer, supplier, order quantity and product identifiers are intentionally omitted. The value is in the inspection process, not in disclosing a client’s shipment.

A carton can look ready long before it is ready to release

At this inspection, the visible work was not a dramatic product failure. It was the less glamorous part that often decides whether an Amazon FBA shipment moves cleanly: checking whether the cartons being prepared for dispatch actually matched the packing information used to book the inspection.

For an FBA seller, a clean-looking stack of cartons is not enough evidence. The release decision needs a chain of checks: the carton configuration, the quantity inside, the outer dimensions, the selected units and the records used to explain a discrepancy if one is found.

What the inspector checked first

The first task was to treat the packing specification as a working document, not a line in a purchase order. Cartons were selected from the staging area and opened where required. The inspection sequence focused on four questions:

  1. Does the outer carton match the expected dimensions and construction?
  2. Does the inner packing arrangement make sense for the stated packed quantity?
  3. Can sampled units be separated and compared without relying on carton markings alone?
  4. Are the observations recorded clearly enough for the buyer to decide whether to release, rework or re-inspect?

Why carton dimensions deserve a physical check

Dimension checks are not paperwork. A carton that is larger, smaller or packed differently from the agreed plan can change freight volume, pallet planning, carton-label placement and warehouse handling. It can also be the first signal that packing was changed late in production.

The useful question is not simply ??oes the box look acceptable???It is ??oes this box support the shipment plan the seller is about to pay for???That comparison should be made against the buyer’s agreed packing details, not against assumptions made at the factory floor.

Opening cartons changes the quality conversation

Once a selected carton is opened, the inspection stops being a visual check of brown boxes. The inspector can compare the packing method, the condition of sampled units, colour consistency and basic material/finish observations. A carton can be correctly sealed while the internal presentation or unit handling still creates a customer-return risk.

The release decision after the inspection

A reasonable release decision is evidence-based. If carton dimensions, packing configuration and sampled units reconcile with the agreed requirements, the report gives the buyer a usable record for final payment and dispatch. If they do not reconcile, the next action should be specific: correct the packing, provide updated measurements, conduct a targeted re-inspection, or hold the shipment while the difference is explained.

That is particularly important for Amazon FBA sellers. Inbound problems discovered after the container or air shipment has left China are usually slower and more expensive to solve than a clear hold decision before final payment.
